Information on Rights of Personal Data Use

Information on personal data of Verejná knižnica Jána Bocatia (VKJB) users are in annex 3 of Library Policy and Guidelines. Personal data processing reflects the obligations respecting The (EU) Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) and Slovak Act No.18/2018 on Personal data protection, which applies from 25.5.2018.

VKJB Library is processing personal data of users exclusively for the purpose of providing library services, information and other services to the users. The Library will process the personal data also for sending the information to users about services, marketing campaigns and for protection of property and library collections.

How does the library process users personal data

VKJB processes personal data in order to provide the library information for services.VKJB respects the EU and Slovak legislation while processing the data. The library doesn’t transfer the personal data of user to a third party or to international organization or to any other subjects.

What kind of data we collect and how we use it

Library is an open space and any citizen can use its services according the Library Policy and Guidelines. Library Policy and Guidelines is a basic document declaring rights and duties of the library and its users. Library can provide certain services only to a specific person and for this reason it needs to know the user´s personal data, especially when lending out resources outside the premises of the library and connected services ( user account administration, reservation, history of used resources), as well as certain services provided in the premises of the library (reservation of premises, registration for an event with limited number of participants). This specific services are provided to registered users, who sign-up by filling in the registration form.

Data for Services Provision

For lending out the resources outside the library, we need basic personal data: name, surname, date of birth, address, ID and domicile. For the children under 16 years of age, we need the same information about their legal guardian as well.

If the user wants to have benefits connected to the school he or she attends, the library processes data about the school user attends (for instance membership reduction in the case of partner schools).

Contact details (email address, phone number) are used for more effective communication with library users about their account, resource reservations, and new services and upcoming events. Via the user account, the library user can set the receiving of the information about the VKJB events, invitations for discussion, exhibitions, workshops, information on reductions or other marketing information related to the activities of the library. The post address will be used, when the user would like to be informed via mail about the arrived reservation or reminder for the due resource. In the case of contested situation and the user’s overview, the library keeps the lending history, records about the use of user’s cards and the circulation of resources. Based on the suggestions of regular users and their needs, we can further develop our services. The data about the lending can help to improve the library network, reset opening hours and guide purchase of new resources. If the user declines, he or she can ask for erasure of records personally in the library.

Camera Monitoring Recordings

Libraries can be equipped with camera monitoring systems, which serve to improve the safety of its premises. Concerned branch libraries are labeled with a camera pictograms on the premises and the information is displayed in their profile at www.vkjb.sk.

Where You Can Find Us

Overview of personal data, library keeps about its users is easily found online in the user’s account, which can be accessed after logging- in (user name, password) to the library catalogue. The account serves to inform about the personal data we keep as well as about lend-items, history of lending from the date of first registration, payment details including the history of payments and information on current reservations. Library user has the right to ask responsible person for the access to the personal date processed by library. This list can be obtained once the request is submitted and the ID of requesting person is verified. It is possible to provide it in e-form as well. Accuracy and Change of Personal Data

Library tries to keep the personal date as accurate as possible. For this reason, it asks for any changes during the personal prolongation of membership. We ask our user, to inform us about any change of their personal data during their visit of the library. When logged-in in the account, the members can make changes of e-mail address and give the approval for receiving the information from the library.

We would like to underline, that certain type of information, the library sends only electronically- for instance due-items and events invitations. We can send out this information only if we have the right e-mail, phone number and clear consent.

How Long We Keep the Data

We keep the data during the valid membership and 5 years after its ending. In this timeframe (5 years), the user can simply renew his membership without losing track of his lending records. After this period, the library makes the data anonymous, we erase all the data, that can help to identify the user. Library uses the anonymous data for statistic purposes. User can ask for erasing the date before this period, when he wishes to end the use of library services. The camera monitoring data are stored for 14 days from the recording or during the period necessary to analyze the recorded situation.

Processing by Other Subject

Library processes personal data of its users in its own IT system and they are not processed by a third party. Sometimes we use the services of other providers- phone provider, online Google services for registering for library events and for the collection of data about the visits of library webpage. Links to social media or services allowing the sharing of content with other users (social media applications) can be found on our webpage as well as other webpages run by the library. All the personal or any other data that will be uploaded in the social media applications by the library users, can be read, collected or used by other social application users and library has very little or no control over them. From this reason, library is not liable for any use, misuse or other unauthorized handling of personal or any other data, than would be uploaded by other users to Social media applications.

Personal Data Control

Processed data by the library is secure and you can contribute to their security by acting responsible. Do not lend your membership card to third-persons, everybody can become a library user. Do not share your password of your library account with other persons.

The Slovak Republic is an EU member and respects the EU legislation. Currently, the personal data protection are regulated by the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) and Slovak Act No.18/2018 on Personal data protection, which applies from 25.5.2018.
